What an office move with us actually involves

An office move is a project, not a truck booking. The part that decides whether it goes well happens before moving day: knowing which floor plate you are going into, which elevators you are allowed to use and when, and what has to be working the moment people walk in.

We start with a walkthrough of both sites. We count workstations, measure the awkward items, identify what is going into storage rather than into the new space, and find out what the building will and will not allow. From there you get a written plan with a schedule, a crew size and a cost, before anything is committed.

How much does an office move cost in Toronto?

Our standard crews are $149 an hour for two movers and a truck, and $199 an hour for three movers and a truck, with a one hour minimum. Office moves usually run larger crews than that, and the hourly structure stays the same, which means you are not paying a premium simply because the job has a company name on it.

For businesses that move regularly, staging companies, retailers, property managers and brokerages, we set up account based pricing instead of quoting each job from scratch. That is the side of the business covered by our enterprise programme.

What actually drives the cost of an office move:

  • Headcount and workstation count. The single most useful number when you call. Thirty desks is a very different job from three hundred.
  • Access at both ends. A building with a proper loading dock and a booked freight elevator is faster than a converted warehouse with a single passenger lift.
  • Whether furniture is being dismantled. Benching systems, cubicle panels and height adjustable desks take time to break down and rebuild.
  • Timing. After hours and weekend work needs a crew committed to that window.
  • What is not coming with you. Decommissioning, disposal and storage all reduce what goes on the truck.

Certificates of insurance and building requirements

Most commercial buildings in Toronto will not let a moving crew past the dock without a certificate of insurance on file, naming the property owner and the property manager as additional insured. Some want it five business days ahead. This is the most common reason an office move gets delayed, and it is entirely avoidable.

Send us your building rules when you book and we will produce the COI with the right parties named and the right limits, and get it to the property manager ahead of the date. We do the same at the destination, which people often forget is a separate building with separate requirements.

We also work inside booked service elevator windows and loading dock slots rather than treating them as a suggestion. If your building gives you a four hour Saturday window, the plan is built around finishing inside it.

After hours, weekend and phased moves

Most offices cannot afford to lose a business day, so most of our office work happens outside business hours. A typical pattern is packing on Friday afternoon, moving Friday evening through Saturday, and reinstalling Sunday so Monday morning is normal.

Larger moves get phased by department or by floor, so part of the business is always operating. We will sequence it around whichever teams cannot go dark, usually anything client facing or anything that answers a phone.

What we move in a commercial space

Workstations, desks and seating

Benching systems and cubicle panels are dismantled, labelled by position and rebuilt to the new floor plan. Height adjustable desks get their mechanisms protected. Task chairs are moved as is, which sounds obvious until you have seen a hundred of them loaded badly.

IT equipment, servers and monitors

Monitors, docks, laptops and peripherals are packed by workstation so each person gets their own kit back rather than a pile in the middle of the floor. Server racks and network gear are handled as high value single items. We move the hardware and the physical racks. Disconnect and reconnect of the network itself stays with your IT team or your provider, and we schedule around them.

Filing, records and confidential documents

Filing cabinets move with drawers secured. Records that need to stay in order move in sequence, labelled by cabinet and drawer. For anything confidential we can keep chain of custody simple by moving it sealed and last, so it is never sitting unattended in a staging area.

Boardroom, reception and high value pieces

Boardroom tables, glass, reception desks, artwork and anything with a finish that shows a mark get the white glove treatment: extra padding, corner protection and a slower pace. This is the same standard we apply for staging companies and interior designers, who notice.

Where we do office moves in Toronto and the GTA

Financial District and the downtown core

Bay Street, King, Adelaide and the PATH connected towers are the most restricted buildings we work in and the most routine for us. Expect strict COI requirements, booked freight elevators, dock slots measured in minutes and security sign in for every crew member. None of that is a problem when it is planned. It is only a problem when it is discovered on the day.

King West, Liberty Village and the west end

Converted brick and beam offices are the opposite challenge. Freight access is often limited or nonexistent, floors can be uneven, and the freight elevator may be small or shared with the whole building. These moves reward an accurate walkthrough more than any other type.

North York Centre and the Yonge corridor

Yonge and Sheppard, Yonge and Eglinton and the North York Centre towers behave much like the downtown core, with the added constraint that parking a truck on Yonge is not something to improvise. We sort the loading arrangement in advance.

Scarborough, Etobicoke and the business parks

Single storey and low rise commercial units, usually with a dock or at least ground level access. These are the most straightforward office moves available and often the fastest, because the constraint is volume rather than access.

Mississauga, Vaughan, Markham and the 905

Airport Corporate Centre, Vaughan Metropolitan Centre, Markham tech offices and the industrial parks across Peel and York. We move offices out to the 905 and back into the city regularly, and cross boundary moves are priced the same way as anything else.

A realistic office move timeline

  1. Six to eight weeks out. Walkthrough of both sites, floor plan confirmed, written quote and schedule. Building rules requested from both property managers.
  2. Four weeks out. COIs issued and filed. Elevator and dock windows booked at both ends. Decide what is being disposed of, donated or stored.
  3. Two weeks out. Labelling system distributed. Staff briefed on what they pack personally and what we handle. IT schedule locked with your provider.
  4. The week of. Purge and disposal runs first so you are not paying to move things you are throwing away. Non essential areas packed early.
  5. Move window. Pack, load, transport, place to plan, rebuild workstations.
  6. First morning back. Crew lead available for the inevitable small adjustments once people sit down at their actual desks.

Decommissioning, disposal and storage

Most leases require the old space returned in a specific condition, which usually means empty and clean. We strip it out, including furniture that is not making the trip, and handle the disposal through our junk removal service rather than leaving it as your problem.

If the new space is not ready, or you are downsizing and want to keep options open, we can hold furniture and equipment in storage and deliver it when the space is. This is common for phased moves and for businesses waiting on a build out to finish.

Keeping downtime to a minimum

Downtime is the real cost of an office move. The truck is cheap next to a day of a hundred people not working. A few things reduce it more than anything else:

  • Label to a floor plan, not to a room name. Every box and every workstation gets a destination that matches a numbered position on the new plan. Crews place, rather than ask.
  • Pack personal kit by person. One crate per desk means one crate to unpack, not a shared pile.
  • Do the purge before the move, not after. Moving furniture you intend to dispose of is the most common avoidable cost in an office relocation.
  • Get IT sequenced properly. The network needs to be live before people arrive, which usually means it is the first thing in and the last thing tested.
  • Name one decision maker. Someone on site who can answer a question in thirty seconds keeps a crew moving.

Overflow support alongside your own team

Not every business needs us to run the whole move. Some have an internal facilities team or an existing vendor and simply need more hands during a crunch, an extra truck for a week, or a crew for the parts nobody wants to do at 10pm on a Saturday. We work as overflow support on that basis regularly and we are comfortable operating alongside another crew rather than replacing them.

Can you get rid of furniture we are not taking?

Yes. Decommissioning and disposal are part of what we do, so the old space can be handed back empty and clean as most leases require. It runs through our junk removal service.

Can you store our furniture if the new space is not ready?

Yes, regularly. Those buildings have the strictest requirements in the city, including booked freight elevators, timed dock slots, security sign in and mandatory COIs. We plan around all of it in advance.
